Who we are

The Careers Leader Hub is operated by GetMyFirstJob Ltd, trading as Talent People. It gives verified careers leaders — at schools, colleges, universities, jobcentres and training providers — a view of how the people they support are getting on with TalentXP work experience and skills programmes.

This notice covers two different groups of people, and the answers are different for each: you, as a careers leader with an account, and the people you support, whose participation you can see.

Part one — your own account

What we collect about you

When you register we collect your name, work email address, an optional phone number, and the organisation you represent (including its reference number, so we can scope your access to it). Signing in is handled by Microsoft Entra External ID, which gives us an account identifier for you; we also record when you sign in and out, which version of these notices you accepted and when, and any notes you write about the people you support.

We do not ask you to upload a DBS certificate or any identity document. To verify you, our team confirms by email that you hold the role you have described at the organisation you selected.

Why we may use it

We use your account data to run the service you have asked to use, to verify that you are entitled to see data about young people, and to keep a record of that verification. Our basis is our legitimate interests in operating a service that only reaches appropriately placed staff, and in being able to show afterwards who had access and why.

Part two — the people you support

What you can see about them

You only ever see people linked to your own organisation, and only what you need to support them: their name and email address, which programmes they are enrolled on, their progress and completions, how long they have spent, the skills those programmes develop, suggested next programmes, and any notes you have written yourself.

Dates of birth, ethnicity, religion, sexual orientation, SEND details, home postcodes and our internal engagement scores are not shown in the profile, progress or reporting views — and no data at all is shown about anyone outside your organisation. That is deliberate, and it reflects the ICO's Children's Code and our own data-minimisation position.

You will see programmes a person has done anywhere on our platform, not only the ones your organisation set up — including any they did before joining your cohort. The hub exists to show you what the people you support are doing so you can suggest what might suit them next, and a partial list would give you a partial picture and worse advice. Which programmes appear is controlled per programme: a programme can be taken out of the Careers Hub entirely if it should not be visible this way.

What your organisation gives us about them

Uploading a list is optional — you can use the hub without it, and simply see the people at your organisation who have already registered. It exists to save a large class re-typing what you already hold.

A list may contain an email address (required), first and last name, date of birth, postcode and gender — and nothing else; any other column is rejected outright. Several programmes need a postcode, and supplying these up front turns the sign-up questions into a short confirmation for the person joining.

We show you back only their name, email address and age — not the date of birth, postcode or gender you supplied. You already hold those, and there is no reason for us to repeat them to you. Age is shown because you are asked to keep an eye on the minimum age.

Invites expire, and then we delete

We do not email anyone automatically. When you upload a list we create a personal invite link for each person, and you send it through your own channels.

If someone has not used their link to register within one month, the link stops working and we delete everything you gave us about them. So where a person never takes up the invite — or was never sent it — we do not end up holding details about them that they never gave us and may never know about. If they do register, they accept our terms and privacy notice themselves at that point, and their record continues on that footing.

Minimum age

The Careers Hub is for people aged 13 and over, in line with the minimum age across our platform. If a list you upload includes someone under 13, that row is refused: no record is created, no invite link is generated, and we tell you which rows were affected so you know they have not been added.

Who else sees this data

Programme content and work experience activities are delivered on the TalentXP platform, which we also operate, so participation data is shared between the two. Employers who host a programme see aggregated participation, not individual records, unless a person applies to them directly. We use a small number of suppliers to host and run the service; they act on our instructions and cannot use the data for their own purposes.

We do not sell personal data, and we do not use anything in this hub for advertising.

Where data is held

Our platform is hosted in the UK and the European Union. A small number of supporting services operate outside the UK; where they do, we rely on the UK's approved transfer safeguards. The services concerned are listed in the Talent People platform privacy policy.

Automated decisions

Nothing in this hub makes a decision about a person by itself. Suggested next programmes and skills summaries are prompts for a conversation with you, not assessments, and they carry no consequence on their own.

How long we keep it

Your account record is kept while your account is active, and you can ask us to close it at any time. Tell us promptly when you leave your role so we can close or transfer it.

Where someone was added to a cohort and never took up their invite, we delete their details one month after you uploaded them. Once a person has registered, their own account and the record of what they have done sit under the retention rules for our wider platform, and the link between them and your organisation is kept while that relationship is current.

Cookies

This hub uses only the cookies it needs to keep you signed in and to keep the service secure. It sets no advertising or analytics cookies, so there is nothing here to consent to.

Your rights

You have the right to ask for a copy of your personal data, to have it corrected or erased, to object to or restrict how we use it, and to complain to the Information Commissioner's Office. The people you support have the same rights over their own data.

You can also complain to the Information Commissioner's Office at ico.org.uk, though we would rather you came to us first so we can put it right.

Changes

We will update this notice as the hub develops. Where a change is significant we will flag it in the hub, and we may ask you to accept the updated version before carrying on.
